Shopify Sanctions Screening and Customer Data: Privacy Questions to Ask
Review app permissions, customer information used in screening, optional AI explanations, staff access and privacy-request handling before installation.
•4 min read
Before installing a Shopify sanctions-screening app, review what customer information it reads, why it needs it, where it sends it and how privacy requests are handled. Screening, review evidence and optional AI explanations can involve different data flows. A useful privacy review evaluates each one separately instead of relying on a general “secure” label.
Your store also needs a suitable lawful basis, customer notices, access controls and retention policy for its own processing. The European Commission's GDPR principles explain purpose limitation, data minimization and storage limits. An app installation does not by itself complete GDPR compliance.
Start with the permission screen and privacy documents
Compare the installation permissions with the described workflow. A screening service may need names and addresses to identify parties, and order access to apply or release fulfillment holds. Understand both reading and editing permissions.
Ask which history is accessible, which fields are used, and how long operational and evidence data are kept. A broad permission category is not a guarantee that every field is used for every feature.
Understand the information used for screening
MatchAudit's order workflow compares supported customer, billing, shipping and company information with selected screening sources. Addresses and available location information can provide context for distinguishing similar names. Country-risk checks examine the relevant recorded countries.
Good data minimization does not mean removing the identifying information needed for a reliable review. It means collecting and using information for a defined purpose, limiting access, and avoiding unrelated copies. A reviewer should know which identifiers would actually resolve an ambiguous match.
Do not collect passport scans or extra sensitive documents by default just because an alert appeared. Determine the specific information gap and the appropriate way to address it under your policy.
Separate optional AI explanations from the list check
MatchAudit can generate an optional plain-language explanation for review cases. Its documented AI request excludes customer names, street addresses, Shopify order and customer identifiers, and tokens. It uses limited context such as roles, countries, deterministic score components and public-list evidence.
That data-minimization design is narrower than saying “no information leaves the app.” Countries and public evidence are still part of the explanation context. Review the current privacy documents for the complete processing arrangement and provider details.
You can switch AI explanations off in Settings. Screening, fulfillment holds and deterministic recommendations continue. An authorized person still makes the final Allow or Block decision; an AI explanation is not a substitute for the underlying evidence.
Keep access and notifications deliberate
Decide which staff can review cases and which can authorize release. Use individual authenticated access where supported, and revisit access when staff leave or responsibilities change.
MatchAudit's Flow review trigger omits customer names and addresses. Put the case link in internal alerts instead of copying a complete customer profile into email. The Flow-alert guide shows how to keep the notification actionable.
An exported evidence record can contain information that should not be shared indiscriminately. Limit recipients and use the intended private download process. Avoid public links or broadly shared folders unless your approved process supports that use.
Plan customer privacy requests before you need them
MatchAudit's documented workflow creates private data-request tasks and removes or de-identifies subject details through its redaction process, while handling documented retention obligations. Ask how this applies to your data and processing terms rather than promising every record is immediately erased after uninstalling.
Keep evidence-retention needs distinct from indefinite personal-data retention. Determine the applicable period and what de-identified decision history is appropriate under your policy. Resolve exceptions explicitly.
Use a short procurement checklist
What purpose does each permission support?
Which customer fields reach the screening service, and which reach optional AI processing?
Which processor terms and subprocessors apply?
Who can review, release and export cases?
How are access, redaction and uninstall requests handled?
Which retention rules apply to identifiable details and decision evidence?
Record the answers with your installation decision. Pair this review with the screening-app buyer's guide and the audit-trail guide so your privacy and operational requirements fit the same workflow.
Frequently asked questions
Does sanctions screening automatically make my store GDPR compliant?
No. Establish an appropriate lawful basis, notices, minimization, access controls and retention policy for your processing, and assess your processor agreements.
Does MatchAudit send customer names and street addresses to its AI provider?
MatchAudit's optional AI explanation request excludes customer names, street addresses, Shopify order and customer identifiers, and tokens. Review its current privacy documents for the full data flow.
Can I switch off AI explanations and keep screening?
Yes. MatchAudit's AI explanations setting can be disabled while screening, fulfillment holds and deterministic recommendations remain available.
