Shopify Sanctions Screening False Positives: How to Review and Release Legitimate Orders
Work through an illustrative common-name case, compare identifiers, document the rationale and verify release without treating AI advice as a decision.

A potential sanctions match is an alert to investigate, not proof that your Shopify customer is sanctioned. Keep the affected fulfillment under control, inspect the complete source entry, compare reliable identifiers and record why the identities do or do not match. Release only after an authorized decision and a check of the actual hold status. MatchAudit supports the review history and AI-assisted explanations, while people remain responsible for the decision.
Case study: two businesses with similar names
This is an invented training example, not a real customer or sanctions designation. A wholesale machinery seller receives order DEMO-1042 from Atlas Component Services. Screening flags a similar name in a demonstration list entry. The purchasing contact asks for urgent shipment because a factory line is waiting for the parts.
Urgency explains the commercial pressure, but it supplies no identity evidence. The reviewer first verifies that fulfillment is held and opens the full finding. They establish whether the result concerns a company, person or another type of listed subject, and which source produced it.
Compare identifiers, including what is missing
On small screens, scroll the table sideways to compare all columns.
| Identifier | Illustrative evidence | How to use it |
|---|---|---|
| Legal name and aliases | Similar trading names, different registered names | Compare the complete entry, not just the highlighted text |
| Registration number | Buyer register extract has a different verified number | Potentially strong distinguishing evidence when comparable identifiers exist |
| Address | Buyer uses a warehouse different from the entry's registered office | Context, not proof of a different entity by itself |
| Incorporation details | Different jurisdiction and incorporation record | Check reliability and consistency with other evidence |
| Ownership and representatives | Verified information resolves remaining links | Assess separately where required; do not infer from a name mismatch |
A missing identifier on a list is not a contradiction. If the buyer supplies a registration number but the entry supplies none, you cannot honestly write that the numbers do not match. Likewise, a different address may reflect a branch, move or intermediary.
