Customer Trust Evidence Checklist: What to Prepare Before Sharing
Prepare a customer evidence pack with current sources, named owners and disclosure checks. Includes an evidence request template for customer trust teams.
•5 min read
A customer trust evidence checklist connects each customer question to a current source, an accountable owner and a decision about what can be shared. It helps customer trust and customer success teams prepare a useful response pack without sending a large, unexplained folder of internal documents.
This is a supplier-side preparation guide. The documents a customer needs depend on the service, data, deployment and review scope; the list below is a starting point rather than a universal requirement.
Confirm scope before collecting documents
An illustrative enterprise customer requests “your latest security documents.” Before attaching anything, ask which service and environment they are assessing, which questions they need answered, who will receive the material and how they expect it to be delivered.
Also check the purpose: a new deployment, a renewal or a targeted follow-up may need different evidence. Ask whether a summary is sufficient before sharing a more detailed restricted report. Record the agreed scope with the customer security review tracker.
Build an evidence register with owners
For each requested item, record its ID, version, relevant period, service scope, owner, sharing restriction and review state. Distinguish the issue date from the period the document covers. A newly downloaded copy of an old report is not newly current evidence.

Do not collect every possible document for every review. Select the source needed to support each claim and the level of detail appropriate for the recipient. A policy explains the intended process; evidence of operation may be needed to substantiate a claim that it occurred.
Copy this internal evidence request template
Customer / review ID: [reference]. Service and deployment: [scope]. Customer question: [exact wording or row]. Evidence needed: [specific fact to establish]. Existing source: [document, version and location]. Gap: [missing, stale or unclear information]. Requested owner action: [provide a current source or confirm the limitation]. Needed by: [date and time zone]. Proposed recipient and sharing channel: [details]. Disclosure approval needed from: [owner].
For example, request “the most recent exercise record supporting the recovery-test answer for this service,” rather than “all continuity documents.” A focused request reduces guesswork and avoids unnecessary disclosure.
If the evidence does not exist, ask the owner to confirm that fact. An honest gap can be reviewed and explained. An invented test result cannot support a reliable answer.
Check four things before sharing
First, relevance: the source applies to the legal entity, service and environment in the customer's question. A report covering one product may not support claims about another.
Second, freshness: check the document period, approval state and known changes. An expired or superseded source needs follow-up. There is no single expiry interval that makes every policy, exercise record and assurance report current.
Third, disclosure permission: confirm the intended recipient, confidentiality conditions and authorized delivery method. An NDA does not automatically mean every internal document is appropriate to share. Ask the document owner when the permitted scope is unclear.
Fourth, answer support: read the claim beside its source. Does the source establish the detail being asserted? If the question asks for the last completed recovery test, a plan describing future tests does not answer it.
Package the response so the reviewer can navigate it
Include a short index mapping question references to evidence IDs and versions. Use clear filenames and explain any scope limitation in the response. Where a summary replaces a restricted document, say what the summary covers and provide a route for appropriate follow-up.
Keep a record of the actual released set and its recipients. Later updates to the evidence library should not erase which version supported an earlier customer answer. Use the answer library template to connect reusable wording to those sources.
Self-service documentation can help with repeat requests. Conveyor's Zendesk case study describes one organization's approach to security information sharing. Treat that as an example, not a prediction of results for your team. A customer can still require their own questions to be answered.
Inspect evidence quality in the sandbox
MatchAudit's customer experience workspace sandbox includes fictional source material and a questionnaire with a stale-evidence gap. Open an AI-drafted answer, inspect its citation and see how an unsupported item remains a gap for review. Then prepare the simulated approved submission.
Request sandbox access. Access is reviewed for qualified business evaluators. Use fictional or dummy data only. Real customer sharing and external portal submissions are not part of the sandbox exercise.
Frequently asked questions
Should every customer receive the entire evidence library?
No. Match the evidence to the request and your disclosure rules. Provide sufficient support for the question while keeping restricted or unrelated material out of the response.
Is a policy enough to prove a control operates?
It depends on the claim. A policy can explain the required process. A question about an actual test, review or event may need a corresponding record.
What should we do when a source is outdated?
Flag affected answers, request a current source or owner confirmation, and review the wording before reuse. The annual review checklist provides a repeatable refresh workflow.
