Shopify Orders Shipped Before Review? Fix the Fulfillment Handoff
Stop review-pending orders reaching a supplier too early. Map payment capture, fulfillment holds and 3PL dispatch, then test the actual release path.

If orders reach your supplier before you review them, start with the dispatch handoff. Identify the event that sends an order to fulfillment, configure a review gate before that event where supported, and test what your fulfillment partner actually does with a hold. Payment settings alone cannot establish that a parcel will wait.
In a Reddit merchant's account of automatically processed orders, the seller reported that goods shipped before they noticed a pattern across purchases. The account illustrates an operational concern: a risk indicator has little practical value if the shipment leaves before anyone can act.
This guide is published by MatchAudit. Its Shopify app adds a sanctions-screening workflow; the handoff design below also applies to manual reviews.
Draw your store's actual order sequence
Write down the events in the order they happen in your integration:
- The customer places an order.
- Payment is authorized or captured under the provider's settings.
- Shopify reports the order and relevant apps begin processing it.
- An app or staff member requests fulfillment.
- The supplier accepts, picks, labels and dispatches goods.
Your integration may overlap or reorder parts of this sequence. Ask the warehouse which event commits the shipment and when a stop becomes too late. Include every sales channel and supplier that can create a dispatch request.
The target rule is simple: the warehouse receives permission to dispatch only after the checks required by your policy are complete. An order tag or staff email is not that permission unless the integration explicitly enforces it.
Separate the three controls
| Control | Purpose | Verify this |
|---|---|---|
| Payment authorization and capture | Decide when funds are captured | Provider support, authorization expiry and responsibility for capture |
| Fulfillment hold | Pause the affected fulfillment workflow | Hold application, timing and supplier behavior |
| Reviewer decision | Approve or escalate based on evidence | Named owner, reason and actual release state |
Use Shopify's fulfillment-hold instructions to understand manual, app and multiple-hold behavior. A release by one app may leave another hold in place. Inspect the relevant fulfillment, especially for split orders.
