Shopify Order Review Evidence: Build the File Before You Need It
Spend less time reconstructing an order. Use a practical record template for customer communication, delivery evidence and separate compliance decisions.

Create the order record while the facts are fresh. Save the communication, review decision and delivery evidence against the order as they happen. If a dispute or compliance question arrives later, build the response around that specific question instead of submitting an unstructured folder of screenshots.
In a Reddit discussion about time spent assembling evidence, a merchant described the work of preparing a response for a small-value dispute. The operational pain is familiar: finding the facts can consume time even when the order value is modest.
This guide is published by MatchAudit. Its Shopify app supports screening records, which form one part of an order file. It does not submit chargeback responses or promise dispute wins.
Keep two evidence purposes clear
Payment-dispute evidence addresses the customer's claim about a transaction. Screening evidence records what was checked, what was found and why a reviewer made a compliance decision. Both may refer to the same order, but they answer different questions.
Shopify's dispute guidance explains the response process and evidence considerations. The issuer and card network determine the outcome; Shopify does not decide it. Follow the deadline and instructions shown for the actual case, including your payment provider's process where relevant.
Do not present a clear sanctions check as proof that the cardholder authorized a payment. Equally, a delivery signature does not explain how a potential sanctions match was resolved.
Use this order-file template
Copy these fields into your existing order-review system or an access-controlled case file. Store links to underlying records where possible rather than duplicating customer data across shared folders.
